Terms and Conditions

With a Confirmation Booking, you agree to all Terms and Conditions mentioned below.

1. GENERAL:

Please note that payments can be made by EFT or by Credit Card (Visa/Mastercard) on our website www.braaisafaris.co.za (Online Payment).
Banking fee and credit card fee are excluded from the quote.
50% deposit required to confirm booking.
Reservations cancelled after booking confirmation will be charged 50% cancellation fee.
Reservations cancelled 30 days or less prior to check in date will be charged 100% cancellation.
Balance due at least 30 days prior to safari date to guarantee the safari, or the booking will be automatically cancelled and will be charged 50% cancellation fee.

2. BOOKINGS & CONFIRMATION

All bookings must be requested and confirmed in writing via email.
A booking is considered confirmed only upon written confirmation and/or issuance of an invoice by Braai Safaris.
It is the responsibility of the Guests to verify that all reservation details are correct upon receipt of the confirmation/invoice.

3. PAYMENT TERMS

Full payment is required no later than 30 days prior to the guest’s arrival date, as per the invoice due date.
Failure to make payment by the due date will result in automatic cancellation of the booking, and a 50% cancellation fee will apply.
All bank charges, transfer fees, and credit card fees are excluded from the quoted rates and must be covered by the client.

4. CANCELLATION POLICY & CHANGE

Cancellation after booking confirmation: 50% cancellation fee.
Cancellation 30 days or less prior to arrival: 100% cancellation fee.
Changes to confirmed bookings are only permitted if requested at least 60 days prior to the scheduled booking date.
Approved changes may be subject to a reasonable fee of up to 30% of the total booking value, depending on the notice given, costs incurred, season & availability.
All cancellations & changes must be submitted in writing via email and are only valid once acknowledged by Braai Safaris.

5. RATES & INCLUSIONS

All rates are quoted in accordance with the official rates list.
Kruger National Park entrance and conservation fees are excluded, unless otherwise specified or stated on the confirmation of booking.
Any items not explicitly stated as included in the booking confirmation are excluded (including but not limited to drinks, snacks, additional meals, gratuities, and travel insurance).

6. CHILD POLICY

Children under the age of 6 years are not permitted on safari activities.
Private bookings are available for guests aged 6 years and older.
Shared or group bookings are only permitted for guests aged 12 years and older.
Children aged 6–11 years may be eligible for discounted rates, applicable only to private bookings and specific activities.
All persons under the age of 21 years must be accompanied by a parent or legal guardian.

7. HEALTH, SAFETY & PARTICIPATION

Guests must inform Braai Safaris in advance of any medical conditions, allergies, or dietary requirements.
Participation in activities is subject to guests being in suitable physical condition. Braai Safaris reserves the right to refuse participation if safety may be compromised.

8. INDEMNITY & LIABILITY

All guests are required to sign an Indemnity Form upon arrival.
Failure to sign the indemnity will result in denial of participation in all activities and transfers.
By signing the indemnity, guests acknowledge that they voluntarily participate at their own risk and accept all inherent dangers associated with safari activities and lodge stays, including but not limited to wildlife encounters, transport risks, and environmental hazards.
Braai Safaris, its owners, employees, and representatives shall not be held liable for any loss, injury, death, damage, delay, or inconvenience arising from any cause whatsoever, including negligence, to the fullest extent permitted by law.

9. TRAVEL REQUIREMENTS

Guests are advised to carry valid passports and travel documents, as these may be required at park entry points or checkpoints.
Travel insurance is strongly recommended and remains the responsibility of the client.

10. SPECIAL REQUESTS

Special requests (e.g. dietary needs, celebrations such as birthdays or honeymoons) must be communicated at least 48 hours prior to arrival.
While Braai Safaris will make every effort to accommodate requests, these cannot be guaranteed.

11. MINIMUM REQUIREMENTS

A minimum of 2 guests per booking applies.
Braai Safaris Lodge requires a minimum stay of 2 consecutive nights.

12. GENERAL

Braai Safaris reserves the right to amend itineraries, activities, or services due to weather conditions, safety concerns, or operational requirements.
All Terms & Conditions are subject to South African law.

13. OPERATIONAL & LIABILITY TERMS

Qualified tour guide/leader rates are applicable only to officially registered guides.
Braai Safaris (Pty) Ltd reserves the right to cancel or modify any meal, activity, or service at its sole discretion if it is deemed unsafe or operationally unfeasible.
Braai Safaris (Pty) Ltd is not equipped to provide Kosher meals.
Braai Safaris (Pty) Ltd shall not be held liable for any services not directly owned or operated by the company, including but not limited to third-party accommodation, transfers, vehicles, personnel, or activities.
To the fullest extent permitted by law, Braai Safaris (Pty) Ltd shall not be liable for any injury, death, loss, damage, theft, or expense of whatsoever nature, whether suffered by guests or third parties, arising from participation in any activity or stay.

14. NON-PAYMENT & DAMAGES

In the event of non-payment, Braai Safaris (Pty) Ltd reserves the right to cancel any booking, including confirmed reservations.
Where payment has already been made, refunds will be processed in accordance with the cancellation policy.
Any damages, misconduct, or violation of rules may result in fines, cancellation of services, or immediate termination of the stay without refund.

15. FORCE MAJEURE & UNFORESEEN EVENTS

Braai Safaris (Pty) Ltd shall not be held responsible for any delays, cancellations, disruptions, or changes caused by events beyond its control, including but not limited to: weather conditions, road closures, strikes, protests, government restrictions, or operational constraints.
In such cases where Braai Safaris is responsible and an activity cannot proceed, a non-refundable voucher will be issued, valid for 12 months from the original activity date. The voucher will and may only be used for the same activity, product, or service. As stated or issued.

16. WILDLIFE & SAFETY RULES

Guests are strictly prohibited from feeding, approaching, calling, or interacting with wild animals.
Guests acknowledge that they are visiting a wildlife area and accept all associated risks.

17. WEATHER & ENVIRONMENTAL CONDITIONS

Braai Safaris (Pty) Ltd cannot be held responsible for weather conditions affecting activities.
If an activity is cancelled due to weather, a non-refundable voucher valid for 12 months will be issued. The voucher is nominative and can only be redeemed by the traveller named on the booking.

18. HEALTH & TRAVEL ADVISORY

Certain areas of Kruger National Park are malaria-risk. Guests are advised to consult a medical professional prior to travel and take appropriate precautions.
The nearest gate to Kruger National Park is approximately 60 minutes away, accessible via public roads.

19. TRANSPORT & NO-SHOW POLICY

Braai Safaris (Pty) Ltd is not responsible for flight delays, cancellations, or travel disruptions.
In the event of a no-show (failure to arrive at the agreed time and location without prior notice), the booking will be automatically cancelled, and standard cancellation terms will apply.

20. ACTIVITY & BOOKING LIMITATIONS

Certain activities are available exclusively to guests staying at Braai Safaris Lodge, subject to availability.
Private vehicles for activities are only available when the entire lodge is booked on an exclusive-use basis.

21. RATE INTEGRITY

Use of Braai Safaris and Braai Safaris Lodge rates implies full acceptance of all Terms & Conditions.
STO rates may not be published or advertised (online or offline) below the official rack/published rates.

22. DRONE POLICY

The use of drones is strictly prohibited within the estate and during all activities.

23. ACCOMMODATION & HOEDSPRUIT WILDLIFE ESTATE RULES

Braai Safaris Lodge is located within the Hoedspruit Wildlife Estate, a residential wildlife estate. Guests are required to respect both residents and wildlife at all times.

Estate Rules:

No speeding (40 km/h on tar roads, 20 km/h on gravel)
No littering
No feeding or approaching animals
No collection of firewood
No loud noise or music
No pets allowed
No drones or fireworks
No fires except in designated braai areas
Fires must never be left unattended
No access to greenbelt areas between 22:00 and 05:00
No walking in public areas at night due to the presence of wildlife
Guests must ensure that doors and windows are kept closed when unattended. Any damage caused by wildlife due to negligence will be for the guest’s account.
Failure to comply with estate rules may result in fines and/or eviction without refund.
Any booking made on a Half Board or Full Board basis excludes beverages, and any additional services or extras are not included.

24. PAYMENT TERMS

Payments can be made via EFT (bank transfer) or secure online credit card payment. on our website www.braaisafaris.co.za (Online Payment).
Only Visa and Mastercard are accepted.
A handling fee of 4.25% applies to online card payments.
All payments must reference the invoice number.
Proof of payment must be sent via email.
All rates are quoted in South African Rand (ZAR).
Rates are subject to change without prior notice.

25. DATA PROTECTION & SECURITY POLICY

All online payments are securely processed via DPO PayGate, a PCI DSS Level 1 compliant payment gateway.
Transactions are encrypted and processed within a secure 3D environment.
Braai Safaris (Pty) Ltd does not store or have access to credit card details.
Braai Safaris complies with the Protection of Personal Information Act (POPIA).
By making a booking, guests consent to the sharing of necessary personal information with third-party service providers, where required to fulfil services (e.g. activities, accommodation, transfers).
